The Documentation Specialist contributes to the preparation of export documentation as well as to export customer service. They prepare all necessary documentation for this purpose, with great accuracy.
Responsibilities :
- Ensures the accuracy of transportation rates used for invoicing
- Ensures prompt receipt of ocean bills of lading
- Ensures complete invoicing of sales and supporting export documentation for clients. The employee must request and follow up with third parties to obtain the certificates required for clients
- Ensures shipment follow-up until final loading on vessels
- Maintains constant communication with customers, service providers, and other department members
- Approves invoices from various suppliers
- Replaces and supports fellow Documentation Specialists as needed
- Replaces and supports the Documentation Team Leader as needed
Required Qualifications and Experience:
- College diploma or equivalent experience
- Bilingual (English and French)
- Practical knowledge of import/export (an asset)
- Proficient with Word, Excel, as well as email and Internet (external websites)
- Strong organizational and planning skills
- Attention to detail and accuracy
- Ability to work independently, manage tight deadlines, and collaborate effectively with the team
- Good stress management
